Title: Operations Manager

Reports to: Director of Operations

Location: BALTIMORE, MD

Job Description: The Operations Manager will be directly responsible for daily janitorial operations, customer satisfaction, account retention, and strong employee relations for multiple accounts.You will also ensure services are provided in a cost-effective manner. This position plays a critical role in ensuring all cleaning staff stays on task and completes all assignments for client satisfaction. To be successful in this role, you should have a good understanding of clients, cleaning principles, running jobs cost-effectively and a teamwork mentality.

Essential Responsibilities include:

Employee-Related

  • Manage a team of technicians and cleaners to achieve a high level of quality
  • Recruit, select, onboard, train, assign, schedule, coach, counsel and discipline employees
  • Communicate job expectations to employees; planning, monitoring, appraising and reviewing job contributions
  • Plan and review employee compensation actions; enforcing company policies and procedures with employees
  • Communicate all operating policies and/or issues to employees at team meetings
  • Train new technicians and cleaners on proper cleaning procedures
  • Organize and build crews based on job requirements, including assisting with recruiting and onboarding new employees through EPAY
  • Organize employee shifts, train and motivate team members for multiple clients
  • Review and approve employee timesheets in EPAY for accurate payroll processing

Operations and Budget-Related

  • Communicate with regional sales and operations managers on a regular basis
  • Complete paperwork related to jobs in an accurate and timely manner
  • Maintain and manage budget, control expenses for all managed operations, review job costs, and make necessary adjustments to meet budget compliance.
  • Manage staff levels, wages, hours, contract labor to revenues
  • Work closely with Director of Operations and Management team to set and/or implement operations policies, procedures and systems and to follow through with implementation.
  • Contribute job site operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality and customer-service standards; resolve problems; complete audits; identify trends on assigned client accounts
  • Forecast requirements; prepare an annual budget; schedule expenditures; analyze variances; initiate corrective actions on assigned client accounts
  • Develop operations systems by determining product handling and storage requirements; develop, implement, enforce and evaluate policies and procedures; develop processes for receiving supplies, equipment utilization, inventory management and quality control on assigned accounts
  • Analyze process workflow, employee and space requirements and equipment layout; implement changes on accounts
  • Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations
  • Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations
  • Accomplish operations and organization mission by completing related results as needed

Client and Job site-related

  • Communicate with all building managers and supervisors, with review/approval responsibility for all operations employees
  • Manage relationships with key operations vendors
  • Effectively communicate with onsite clients
  • Serve as primary point of contact when there are customer issues related to equipment quality, customer service, or accidents and mishaps on-site. In particular, this includes any issues on-site at client facilities
  • Communicate customer issues with operations team and devise ways of improving the customer experience, including resolving problems and complaints
  • Organize and maintain supplies and working condition of cleaning equipment
  • Work closely with the inventory manager and team to perform analysis of our inventory and ensure we are utilizing our inventory requirements

Requirements:

  • A minimum of 2 years related experience, preferably at the supervisory level
  • Ability to create and forecast productivity, staffing, and budget plans.
  • Ability to initiate and document corrective action professionally and thoroughly as needed.
  • Must be at least 18 years of age
  • Must have reliable transportation to and from work.
  • Must have a clean driving record and be insurable, including successfully pass a Motor Vehicle Record (MVR) to operate a company vehicle.
  • Must be able to pass background check
  • Ability to work independently with minimal supervision and be dependable
  • Ability to work during the evening to visit cleaning teams and ensure they are all properly working their assignments
  • Strong attention to details
  • Strong leadership, communication and listening skills as well was experience working in a high stress environment
  • Bilingual in English and Spanish a plus
  • Experience with payroll and timekeeping a plus
  • Physical Requirements: Must be able to regularly lift 30-50 pounds, stand for long periods of time and travel to multiple sites each day as needed

Education Requirements: High school diploma or equivalent is preferred
